SDPA Privacy Policy

The Society of Dermatology Physician Associates (“SDPA”) respects the privacy of its members and users of its websites, applications, and services, including without limitation conferences and online learning (together “the Sites and Services”).

This Privacy Policy (“Policy”) describes what information we collect about you, including when and how we collect it, how we use it, with whom we may share it, and what choices you have regarding our use of your information. By accessing or using any of the Sites and Services including, without limitation, www.dermpa.org, you agree to comply with, and be bound by, this Policy. If you do not accept all of the terms of the Policy, you should not use the Sites and Services. This Policy may change, so please refer back to it periodically.

1. Information Collected and Used by SDPA

SDPA collects certain information about anyone who accesses and uses the Sites and Services, as well as specific information from SDPA members.

a. All Users of Sites and Services

We may collect two types of information from you:

Personal Information is information that would allow someone to identify or contact you, including, for example, your name, address, phone number and email address. The personal information we collect might include your name, address, phone number, and email address.

• SDPA uses Personal Information collected about you to provide you with information, resources and services; enable you to participate in the Sites and Services, including without limitation, conferences, webinars and online learning; customize our content or communications to you based on your previous interactions with us; provide user support; communicate with you and respond to your inquiries; register and manage participation in events and services; improve the content and features of the Sites and Services; and advance SDPA’s mission.

Nonpersonal Information. We may collect Nonpersonal Information about you when you visit the Sites and Services or access their content. Nonpersonal Information is information that does not reveal your specific identity, including browser and device information, access and usage data, Internet Protocol address, and site usage information collected through cookies and other technologies (see below). Nonpersonal Information also includes information that has been anonymized or aggregated in a manner that no longer reveals your specific identity.

• SDPA uses Nonpersonal Information for internal purposes, for example, to manage and improve the Sites and Services, analyze usage patterns, customize and improve the user experience, and diagnose technical problem. We may share Nonpersonal Information, including information that has been de‐identified or aggregated and other technical information, without limitation.

We may use third‐party analytics providers and technologies, including cookies, tags, beacons, and similar tools, to assist in collecting information about your computer or device and your use of the Sites and Services. A cookie is a small piece of information that a website can store on a computer and later use to recognize a user. The purpose of cookies is to enhance your ability to receive the information you want. SDPA may use cookies to enhance the experience of users of the Sites and Services. You may be able to personalize your browser settings to reject cookies, although certain features of the Sites and Services may not function as intended.

We may combine Personal Information or Nonpersonal Information we collect with information we obtain about you from third parties, and use such combined information in accordance with this Policy.

In the event you engage in a financial transaction, you grant us permission to access your credit card information or other financial information to complete your financial transaction. SDPA will not share, rent or sell this financial‐related information to any third parties without your consent, except that your credit card and other Personal Information will be shared with our credit card processor or other financial intermediary and then only to process the transaction.

b. When We Disclose Your Information

• SDPA may share your Personal Information with its affiliated entities, agents, contractors, vendors, service providers and partners for the purposes of completing tasks and providing products and services to you on our behalf. SDPA will not sell or share Personal Information to unaffiliated mass marketers without your express permission. SDPA may share Personal Information with unaffiliated third parties, such as SDPA’s event sponsors.. You may opt out of sharing your Personal Information with these third parties.

• If law enforcement or judicial authorities require us to provide them with your Personal Information, we must cooperate with the authorities if their request is supported with the necessary legal documentation.

• If we or some or all of our assets are acquired by another organization, such as through a merger, acquisition, or bankruptcy, that organization will possess the information collected by us, and it will assume the rights and obligations regarding our information as described in this Policy.

• We may share Nonpersonal Information, including information that has been de‐ identified or aggregated and other technical information, without limitation.

• We reserve the right to disclose your Personal Information to protect the rights, property, safety or security of SDPA, our users, or the public.

c. Your Control of Personal Information

All users of the Sites and Services may limit the collection and use of different elements of your Personal Information by not participating in those activities and events for which we collect Personal Information, as listed above. Except as provided with respect to SDPA members, you may unsubscribe from communications you receive from us, or select the type of information you would like to receive, by following directions included in such communications, or by contacting us at the address below.

You may discontinue the collection, use and disclosure of your Personal Information by limiting or discontinuing your use of the Sites and Services altogether.

You may request a copy of the Personal Information we hold about you by contacting us at the email address below. You may ask us to correct any Personal Information or delete all information we hold about you by contacting us at the address below. We may be entitled, however, to decline the request or retain information under certain circumstances, under applicable laws. Under certain data protection laws, you may have the right to appeal our decision.

You may opt‐out of any sharing of your Personal Information with other unaffiliated third‐party organizations by contacting us at the email address below and describing your request.

2. Special Terms for SDPA Members Only

To gain access to members‐only areas and personalized features on the Sites and Services, users must create an SDPA account and provide certain Personal Information in your member profile such as your name, mailing address, email address, employer, and any other information you include in your SDPA member profile (“Profile Information”). You may limit the Profile Information we collect about you by not adding it to your profile or by not having a profile.

a. Your Member Profile

The Sites and Services feature a searchable member directory containing member profiles. As a SDPA member, you maintain control over the extent to which certain pieces of contact information are viewable by others in your member profile, such as your email address, and whether that information can be viewed by the public, only other SDPA members, or only privately by yourself and SDPA and its affiliates. By default, personal and professional contact information is only visible to other SDPA members. By changing these options in your profile or leaving the defaults in place, you maintain responsibility for how this information is displayed or not displayed on the SDPA Site. You may correct your Profile Information at any time by accessing your profile.

Please be aware that if you decide to disclose Profile Information on an area of the Sites and Services accessible to other users, this information may become public. SDPA does not control the acts of users of the Sites and Services, so please be cautious when deciding to reveal Profile Information. Please contact us if you believe a user of the Sites and Services is improperly collecting or using information about you or other users. If you require assistance in changing how this information is displayed, please contact us at membership@dermpa.org.

b. When We Disclose Members’ Profile Information

SDPA may share your Profile Information with its affiliated entities, agents, contractors, vendors, service providers and partners for the purpose of completing tasks, providing services and providing member benefits to you. For example, SDPA may share your email address with its vendors to deliver certain SDPA member benefits, such as the Career Center job board.

While certain e‐mails from SDPA regarding your membership are mandatory, you can control which non‐mandatory e‐mails you receive by following the “Manage Email Preferences” link at the bottom of SDPA e‐mails you receive. If you do not want your Profile Information shared with vendors or used to deliver SDPA member benefits, do not become an SDPA member or cancel your membership if you are already a member

If you do not want to receive any communications from SDPA, do not become an SDPA member or cancel your membership if you are already a member.

SDPA will not sell or share Profile Information to unaffiliated mass marketers without your express permission. SDPA may share or sell Profile Information to unaffiliated third parties, such as SDPA’s event sponsors. You may opt out of sharing your Profile Information with these third parties in your member profile.

3. General Information

a. Social Media and User‐Generated Content

SDPA uses social media, including website comments and other online user‐generated content to engage our readers in dialogue. When submitting user‐generated content, you will abide by all SDPA policies and acknowledge that you alone are fully responsible for the content you submit and that you own or have the rights to use the content. By submitting the user‐ generated content, you hereby grant to SDPA a perpetual, worldwide, non‐exclusive, royalty‐free, transferable license to use, download, duplicate, display, distribute, modify and create derivative works of the user‐generated content. While SDPA may use this content for SDPA Sites and Services, SDPA is under no obligation to do so, and SDPA may or may not publish at SDPA’s sole discretion.

b. Legal Basis for Processing

Our legal basis for processing your Personal Information for the purposes described above will typically be consent, as you have consented to us using your Personal Information for the purposes discussed here. We may also process your Personal Information to enter into or perform a contract with you, or to comply with a legal obligation to which SDPA is subject. It is also in our legitimate interest to use your Personal Information to operate and improve our services, measure our impact, and to protect our organization.

c. Security

SDPA treats security seriously and takes commercially reasonable measures to protect each user’s Personal Information. SDPA is not, however, responsible for any information you share with other users of the Sites and Services or other third parties. While we strive to use industry‐standard practices to protect your information, SDPA cannot guarantee the absolute security of your information. If you believe there has been any breach of the security of the Sites and Services, please contact us.

d. How Long We Hold Data For

We keep your Personal Information for as long as is necessary for the purposes for which it is processed. These periods vary depending on the nature of the information and your interactions with us.

e. Links to Other Websites

The Sites and Services may contain links to or frame third‐party websites. SDPA is not responsible for the privacy practices, policies, or content of those websites. Once you link to any third‐party website, you are subject to the terms of service and privacy policy of that site. We encourage you to investigate and ask questions before disclosing information to third parties.

f. Policy Changes

SDPA reserves the right to update this Policy. Please check back often to read our most updated and amended version, which is posted in the privacy policy section of the Sites and Services.

Your continued use of the Sites and Services means that you consent to our updates and amendments. If we change this Policy with respect to Personal Information, we will take reasonable measures to notify you of the nature of the changes via email or other method of communication, and provide you with the opportunity to opt‐out of any new use of your Personal Information. Your failure to act after such notification will be considered as assent to the amended Policy.

g. Privacy Protection for Children

If you are under the age of 16, please do not use the Sites and Services. SDPA will not knowingly permit persons under the age of 16 to provide information, or sign up for updates or receive information, through the Sites and Services or otherwise. If SDPA later learns that a user is under the age of 16, SDPA will take appropriate steps to remove that user’s Personal Information from the database and restrict that user’s access to the Sites and Services.

h. International Usage

The Sites and Services are controlled, operated, and administered entirely within the United States. If you visit, access, interact with, and/or otherwise use the Sites and Services from a location outside the United States, please be advised that any information you provide in connection with any such activity may be processed in and/or transferred to the United States of America and/or other territories and locations, where privacy protections may not be as comprehensive as those in the territory or location where you interact with or otherwise use the Sites and Services. By using the Sites and Services, you affirmatively consent to the transfer, use, disclosure, provision, and other administration of your information as described in this Policy.
